The University’s inventory of space is maintained through the Archibus space management system. Archibus is used for the management, planning and reporting of University Space. It is the definitive source for all location identification (building codes, names and room numbers). A web-based webpage provides access to space information to all University users through a guest login. (Hyperlink to Archibus)
Archibus is regularly updated for changes to space usage resulting from building renovations, demolitions and new construction, or from alterations to room use or occupancy. Heads of organisational units are responsible for informing the Infrastructure Systems and Information section of any changes to space allocation made by them, such as room changes for staff, research or other purposes. Annual Space Audits are undertaken to verify data in the Archibus system. The census date is 31 August each year. Data collected also verifies the Syllabus Plus database updates.
The space inventory recorded in Archibus is used to inform strategic space planning and allocation, guide the appropriateness of the Asset management Plan, faculty and division reporting and accountability and supports PM_Track in meeting statutory reporting requirements. The accuracy and timeliness of the Archibus data is crucial to the University’s planning process.
Archibus interfaces with a number of other university systems including QV, Oracle Financials and BEIMS.
